What is this page about?

Welcome to Teens in AI! We want you to know how we look after your personal information. This means the details about you that you share when you visit our website, join one of our programmes, take part in an event, complete a survey, use one of our learning experiences, or communicate with us.

We have written this page especially for children and young people, so it is easy to understand.
We also have a longer, more detailed Privacy Policy for adults, including parents, guardians, teachers and programme partners.

Teens in AI runs programmes and learning experiences including AI4Good Incubator, Global AI Techathon, Teens in Action and AI Adventures. Some programmes use different platforms or delivery partners, so we may give you extra privacy information when you join them.

If you use AI Adventures, you can also read the separate AI Adventures Children’s Privacy Policy, which explains how your information is used on that learning platform.

Teens in AI is run by Acorn Aspirations Ltd trading as Teens in AI, company number 09349572, registered in England and Wales. Our registered office is in Leicester, United Kingdom.

Who looks after your information?

Teens in AI is responsible for keeping your personal information safe. In legal words, we are the “data controller”.

The person responsible for data protection at Teens in AI is Elena Sinel, our CEO.

Why do we need your information?

There are a few reasons we may need some information about you:

1. To register you for a programme, event, course or activity.
2. To create an account where a programme needs one.
3. To communicate with you, your parent or guardian, school or programme organiser.
4. To track your participation, progress, learning or certificates where relevant.
5. To help keep you safe when taking part in our programmes.
6. To make sure our programmes and websites are working properly.
7. To provide additional support or adjustments where you need them.
8. To help us understand who our programmes are reaching and the difference they are making.
9. To improve our programmes and learning experiences.

We use reliable analytics and evaluation tools to help us understand how our programmes and digital services are being used.

We will never use your information to sell you things or show you targeted adverts.

We will never sell your personal information, trade it, or give it to companies that want to advertise to you.

What information do we collect?

Depending on the programme or activity you take part in, we may collect:

• Your name and email address.
• Your age or date of birth.
• Your school, college or organisation.
• Your country or region.
• Your gender, where we ask for this to help us understand who our programmes are reaching and measure our impact.
• Contact details for your parent, guardian or emergency contact where needed.
  Information about accessibility, health, educational or support needs where this is necessary to keep you safe or support your participation.
• Information about the programme, course or event you take part in.
• Course progress, quiz results, feedback or certificates where relevant.
• Information you give us in surveys, evaluations or feedback forms.
• Photos or videos from programmes or events where the appropriate permissions have been obtained.
• Information you send us when you contact us or ask for help.

If you use AI Adventures, we may also collect information about your account, course progress, quiz results and certificates. You can read more about this in the AI Adventures Children’s Privacy Policy.

We only collect information that we need for a particular reason. We do not collect personal information just because it might be useful one day.

What if you are under 18?

Children and young people need extra protection when organisations collect and use their personal information.

If you are under 18, we may need permission from your parent or legal guardian before you take part in a programme or before certain information about you is collected.

If you join through your school or another organisation, they may help us make sure the correct permissions are in place before you take part.

If you are unsure about anything, please ask a parent, guardian, teacher or programme organiser for help.

Your parent or guardian can ask us to see, change or delete information we hold about you by emailing hi@teensinai.com.

If you or your parent or legal guardian thinks we have received your information without the correct permission, please contact us straight away at hi@teensinai.com. We will investigate and take the appropriate action, including deleting information where required.

How does Teens in AI help keep you safe?

We design our programmes with the safety of children and young people in mind.

• Safeguarding rules: Our programmes are covered by safeguarding policies and codes of conduct.
• Safe participation: Staff, mentors, volunteers and programme partners are expected to follow clear rules about how they work with young people.
• Responsible use of AI: Some Teens in AI programmes teach you how to use AI tools. Where AI tools are used in the development or enhancement of educational content, our team reviews the content before it is shared with learners.
• No targeted advertising: We do not use your personal information to target you with advertising.
• No selling your data: We will never sell your personal information.
• Security measures: We use measures such as secure connections and restricted access controls to help protect your information.
• Trained people: People who are allowed to access personal information are expected to keep it safe and confidential.
• Extra safeguards for different programmes: Some programmes involve working with other young people, mentors or facilitators. We put safeguarding arrangements in place for these activities.

AI Adventures works differently from some of our live programmes. AI Adventures does not allow learners to message or interact directly with other learners through the learning platform.

Do computers make decisions about you?

No.

Even though Teens in AI teaches young people about artificial intelligence, we do not allow AI or other automated systems to make important decisions about learners on their own where those decisions could have a legal or similarly significant effect on you.

Real people remain responsible for important decisions about your participation, safety, certificates or account.

Who can see your information?

We only share your information with people and organisations that need it for a proper reason.

Depending on which Teens in AI programme you use, this may include:

• Your school or programme partner: If your school or another organisation arranged your participation, they may receive information about your participation, progress or certificates where appropriate.
• Thinkific: AI Adventures is hosted using Thinkific, which stores learner account and course information for us.
• Google: We use Google services for parts of our administration, communication and data storage.
• Payment providers: Where a programme or course requires payment, payments may be handled securely by providers such as Stripe or PayPal. We do not store your full card details.
• Analytics and communication providers: We use trusted companies to help us understand how our websites and programmes are used, measure our impact, improve our services and manage communications.
• Programme delivery partners and contractors: Sometimes another organisation or trusted person helps us deliver an event or programme. They may only receive information they genuinely need to carry out their role.
• Legal or regulatory authorities: Very occasionally, we may need to share information where the law requires us to or where this is necessary to protect somebody’s safety.

Companies that process personal information for us must follow data protection rules and may only use the information for the purposes we have agreed with them.

They are not allowed to sell your information or use it to target you with advertising.

Where is your information stored?

Teens in AI is a UK organisation, but some of the trusted technology companies we use operate in other countries.

For example, AI Adventures is hosted by Thinkific, a company based in Canada.

We also use secure Google services for parts of our administration and data storage.

Your information may therefore sometimes be stored or processed outside the United Kingdom.

When this happens, we take steps required by data protection law to make sure your information continues to be properly protected.

How long do we keep your information?

We do not keep personal information forever.

How long we keep something depends on why we collected it.

Our usual approach includes:

• Information about your registration for a programme or event is normally kept for up to three years after the programme or event.
• AI Adventures account and course information is normally kept while you are enrolled and for three years afterwards.
• Financial records are normally kept for six years where required by law.
• Newsletter information is kept until you unsubscribe or ask us to remove it.
• Safeguarding records may need to be kept for different periods in accordance with safeguarding law, guidance and our safeguarding responsibilities.
• Information that has been fully anonymised so that it can no longer identify you may be kept for research, evaluation and impact reporting.

If you or your parent or guardian asks us to delete your personal information, we will consider the request and remove information where data protection law requires us to do so.

Your rights

Because we store information about you, you have rights over it.

•  The right to see your information: You can ask us to show you the personal information we hold about you.
• The right to correct your information: If something is wrong, such as your name being spelt incorrectly, you can ask us to fix it.
• The right to delete your information: In some circumstances, you can ask us to delete information we hold about you. This is sometimes called the “right to be forgotten”.
• The right to say no: You may be able to ask us to stop using your information for certain purposes or object to the way it is being used.
• The right to a copy of your information: In some circumstances, you can ask us to give you a copy of your information in a format you can use elsewhere.
• The right to change your mind: If you or your parent or guardian agreed to something, such as receiving our newsletter, you can change your mind and withdraw that consent.

We will normally respond within 30 days. We may need to check who you are before we can action your request so that we do not accidentally give your information to somebody else.

Your parent or guardian can also contact us about your information.

What if something goes wrong?

If there is a serious problem with the security of personal information, this is called a “data breach”.

We have procedures for dealing with data breaches.

Where the law requires us to do so, we will tell the Information Commissioner’s Office, or ICO, within 72 hours of becoming aware of a breach.

If a problem is likely to create a high risk for you, we will also tell you, or your parent or guardian where appropriate, without unnecessary delay and explain what has happened and what you should do.

Where appropriate, we may also need to inform your school or programme organisation.

What are cookies?

Cookies are small files that can be saved on your device when you visit a website.

They help websites do things such as remember settings, keep services working securely and understand how people use the site.

Teens in AI uses cookies and similar technologies to:

• Keep our websites working correctly.
• Remember certain settings.
• Help protect our websites and services.
• Understand how visitors use our website.
• Understand which pages and programmes people are interested in.
• Improve our websites, programmes and learning experiences.

We do not use your personal information to show you targeted advertising.

We ask for permission before placing optional cookies on your device.

You can manage your cookie choices through the website’s cookie controls or your browser settings.

What if you are unhappy with how we use your information?

We hope you feel comfortable with how we look after your information.
